Who We Are
This Privacy Policy is issued by SADHGURUSYNAPSE SOLUTIONS LLP("Company", "we", "us", "our"). We develop and distribute Speech2Doc, a desktop application for offline AI-powered speech-to-document conversion. This Policy describes how we handle personal information in connection with the Software and our website at speechtodoc.com.
What Data We Collect
Data we collect (minimal)
- →Account information: Email address when you register or purchase a license via our website.
- →License data: License key, activation timestamp, and an anonymous device identifier used solely to enforce single-device licensing.
- →Purchase data: Transaction metadata processed by our payment provider and Merchant of Record. We do not store your payment card details.
- →Anonymous diagnostics: Software version, operating system type, and crash reports if the application encounters an error. These contain no personal content.
Data we never collect
- ✓Your audio recordings
- ✓Transcribed text
- ✓Documents, spreadsheets, or emails generated by the Software
- ✓Any content you process in Offline Mode
AI Models and Local Processing
In Offline Mode, all AI processing runs locally on your device — nothing is transmitted externally.
- →Speech recognition — OpenAI Whisper, running on-device. No audio sent to OpenAI.
- →Document generation — Proprietary bundled model, running on-device. No transcript leaves your machine.
Cloud Mode — Your Data, Your Responsibility
Speech2Doc optionally supports a user-configured Cloud Mode where you connect your own API credentials from a third-party cloud AI provider. When Cloud Mode is active:
- →Transcribed text is transmitted to the cloud provider you select, using the API key you supply.
- →The Company does not receive, process, or store any data transmitted in Cloud Mode.
- →Your use of third-party cloud services is governed by their respective privacy policies and terms.
- →You are solely responsible for ensuring that your use of cloud providers complies with applicable laws, including any data residency or confidentiality obligations.
Cloud Mode is disabled by default. Offline Mode is the standard operating mode.
How We Use Your Data
- →To process your purchase and deliver your license key via email
- →To validate your license and enforce single-device usage
- →To provide customer support when you contact us
- →To send critical product update notices
- →To investigate and fix software bugs via anonymous crash diagnostics
We do not sell, rent, or share your personal data with any third party for marketing purposes.
Third-Party Service Providers
Data Retention
Account and license records are retained for the duration of your active license and for a reasonable period thereafter as required by applicable tax and accounting obligations. Anonymous diagnostic data is retained for a maximum of 12 months. You may request deletion of your account and associated personal data at any time; deletion of license records may be deferred to satisfy legal obligations.
Your Rights
Subject to applicable law, you have the right to:

- →Erasure — Request deletion of your personal data where legally permissible

Security
All data transmitted between the Software, our website, and our servers is encrypted using industry-standard TLS protocols. License keys are cryptographically signed to prevent tampering. Anonymous device identifiers used for license validation are stored in a non-reversible form and cannot be used to identify you or reconstruct hardware details. We apply the principle of least privilege to all data access internally.
Governing Law
This Privacy Policy is governed by the laws of India. The rights described in Section 8 apply to all users regardless of location, subject to applicable law in your jurisdiction.
